Overview

Established in 2001 and headquartered in Johannesburg South Africa, IA Systems (Pty) Ltd is an Information Technology Company focused on providing real business solutions to real business problems in the intellectual assets arena. Intellectual assets include; Documents, Processes, Data and People.

IA Systems realize that technology is an enabler only and that the real power of a business solution comes from understanding the problems the customer is facing and then together with the customer creating winning solutions that add value, decrease costs, increase productivities and service levels and provide significant positive returns to stakeholders.

Over the years of operation, IA Systems has learnt that even with a great solution, real value is only unlocked as quickly as the people embrace it. For this reason, our implementations are focused on training and change management with tight integration into the business processes that drive the use of the solution. Such an approach makes it easier for users to adopt the solution and to see it as an ally, improving the way things are done and making daily operations easier.

IA Systems represent the Open Text ECM (Enterprise Content Management) product range. These solutions provide powerful ways for managing intellectual assets and have been tailored and customized to create specific business applications. Some such applications include; Contracts Management, Correspondence Process Automation, Invoicing and Proof of Delivery Management, Insurance Claim Automation, Corporate Governance and Records Management.

Other products in our stable include Digital Signature verification, PDF Conversion technologies and Imaging and Web Content Management.

The Management Team

Daniel Hall

As founder of IA Systems, Daniel brings to the Company his wealth of business expertise with 15 years experience in the Electronic Document Management environment. Daniel has been working at Executive Management level for the last ten years and for four of those years he was the Managing Director of MDS and Director of the Mercedes Datakor Group. He is well known in the industry and has been asked to present papers and chair many conferences on Electronic Document Management, Knowledge Management, Portals and Workflow and also hosted a radio show on Radio 2000 on Knowledge Management.

Malcolm Van den Berg

Malcolm joined Daniel Hall as an account manager at Mecedes Datakor in 1999 and is one of the original founding members of the IA Systems entity. Malcolm is responsible for the Partner Program as well as the direct sales and marketing effort within IA Systems. Malcolm has been involved in the ECM industry for more than 8 years now and has been directly involvement in a number of large significant customer implementations within the IA Systems portfolio.

Anthony Hall

As operations manager for IA Systems, Anthony has been extensively involved in the professional services area with over 10 years experience in the ECM industry. Anthony has progressed through most roles required to complete an ECM solution implementation from technical and business analyses to training and project management bringing an in-depth knowledge of the required strategies to maximize user buy-in through the implementation life cycle. Anthony has done various independent contracting roles at our partners and key customer accounts promoting system usage as the main objective. Most recently Anthony was full time involved as project manager for the successful delivery of the Parliament Content Management System. His passion and diligence for successful projects has awarded him great respect by industry and customers alike.

74% of the shares in IA Systems are held by the Management team with 26% shares held by a BEE Employee Trust. All the employees in this trust are from previously disadvantaged communities. The demographics are as follows:

8% held by African female

5% held by Indian female

This BEE Employee Trust arrangement benefits both the company and the shareholders alike. The shareholders who are also active employees of the business share the passion and vision of the company going forward.

Employment Equity

Current Employment Equity ratios are favorable with 64% of all employees been previously disadvantaged. In terms of black employees who are management, we have a 25% rating according to the QSE scorecard.

Skills development

IA Systems have a very strong commitment on the provision of training to both white and black employees. Training includes on the job training, formal certification, work related courses and general academic study support.

The Business Solution

Vendors, analysts and customers all talk about Electronic Content Management (ECM) and the benefit it provides to managing and controlling organizations content. Though this is not incorrect, we do not believe that the real value lies in managing content. Rather, the value is provided by creating real business applications using the content management technology as foundation components which together with the business context create a powerful value adding solution offering real quantifiable benefits to the customer. This is how most enterprises look today.  You have several mission-critical applications: Exchange e-mail systems, Microsoft Office, SharePoint, Shared File Systems, an ERP system, and so on. 

 

Each of these applications creates a significant amount of content and stores it in its own manner, many of them in a completely unstructured and unmanaged way.

  

The tremendous amount of content created in the different silos is extremely difficult to manage and control. Until recently, most organisations have simply created or made use of Content Management systems to manage this content. Although this approach certainly does create some structure around a very unstructured environment, it does not address the business areas of pain that are caused by content coming in and been processed in the organisation.

  

It is for this reason that IA Systems has developed very specific business applications that add real value over the traditional method of implementing ECM. Invoice Management

  

IA Systems Invoice Management solution manages the supplier invoice process from receipt of invoice through to payment and notification back to the customer. The supplier invoice process is one of the more difficult processes that organizations are faced with managing and controlling. Typical problems include:

IA Systems’ Record Management solution provides a fluid process for the protection of content assets against risks such as litigation or disaster while meeting complex regulatory requirements. It is important to note that much of a Record Management implementation is focussed not on the technology offered but the business context behind the storage of those records. The creation of a file plan approved by National Archives should be one of the first exercises conducted by a company prior to the implementation of a business solution. Business classification System

  

Intelligent Corporate Organisational Risk Metadata Manager (iCOR Metatdata Manager) is IA Systems latest addition to our own brand of developed solution, a template driven Business Classification Scheme (BCS) and File Plan creation solution.

  

Information Management Standards require businesses or organisations both corporate and public to comply with various legislations. Business Classification Scheme facilitates these requirements by segmenting the organisation into Functions, Activates and Transactions as per ISO 15489 and applies them to Business Information.

  

As most operational business units will share a common set of business functions and activities, IA Systems have developed a solution to assist in the creation of a Business Classification Scheme or File Plan which can be adopted by these business units.  

  

Adopting a BCS or File Plan will reduce the risk and effort required for operational business units to maintain consistency of classification across their individual organisations.
